Description:
- Provide comprehensive administrative support to the CEO as directed so that daily operations can run smoothly
- Manage communication with employees, including screening CEO email and phone, and serve as a liaison between the CEO and internal and external stakeholders including clients and other senior level executives
- Prepare presentations and reports for internal and external meetings, ensuring clear and effective communication of key messages
- Assist in planning, maintaining documentation, and tracking progress of business projects, ensuring timely completion and adherence with deadlines
- Oversee calendar management for the CEO including digital calendaring, appointment setting, meeting organization and other company logistics
- Manage travel logistics, including scheduling reservations, accommodations and transportation as necessary
- Provide administrative and office support such as note taking, spreadsheet creation, and other tasks as needed
- Assist with social and event hosting on behalf of the CEO
- Handle errands, online payments, mail, shipping, and file/document management, bank deposits
Requirements:
- Seven (7) + years experience in an administrative role supporting senior leadership
- Bachelor’s degree required
- Notary license required
- Exceptional communication skills, written and verbal
- Meticulous time management and organizational skills with ability to prioritize effectively
- Flexible team player – willing to adapt to changes with a positive attitude
- Proactive problem solver with the ability to see and address issues before they occur
- Ability to maintain professionalism, calm and friendly demeanor, and confidentiality at all times
